Back office and documentation specialist

This role provides administrative support to manufacturing, logistics and foreign trade operations, mainly for clients operating within the Dominican free zone regime. The work includes order management, customs documentation, supplier onboarding and quality records administration. In a regulated manufacturing environment, an error in a record is not an administrative problem, it is a compliance exposure. Accuracy is the central metric of this role. We are in Santiago deliberately. The Cibao is the centre of the country's free zone activity, and the local labour market understands this work.

About the role

This role provides administrative support to manufacturing, logistics and foreign trade operations, mainly for clients operating within the Dominican free zone regime. The work includes order management, customs documentation, supplier onboarding and quality records administration. In a regulated manufacturing environment, an error in a record is not an administrative problem, it is a compliance exposure. Accuracy is the central metric of this role. Key responsibilities

  • Process purchase orders, confirmations and modifications in the client systems
  • Prepare and verify customs and export documentation before submission
  • Run the pre-submission check according to the defined rejection reason taxonomy
  • Manage the supplier onboarding process: document collection, verification, registration and filing
  • Keep supplier master data current and verified
  • Administer quality records in line with the requirements of the client management system
  • Apply the single data capture model, avoiding re-entry of information between systems
  • Run the document completeness check before shipment
  • Coordinate with plant staff, customs agents and authorities as needed
  • Attend the client plant or the customs authority in person when the process requires it
  • Identify and report discrepancies, duplications or inconsistencies in the document flows
  • Maintain the document archive in line with retention policies and Law 172-13
  • Contribute improvements to the documented processes and the rejection taxonomy
  • Meet the accuracy, cycle time and first-submission acceptance targets

Required qualifications

  • Native or equivalent Spanish
  • English at B2 or above for reading, writing and coordination with clients
  • One to three years of experience in back office, foreign trade, logistics, administration or document management
  • High accuracy and demonstrable documentary discipline
  • Microsoft Excel proficiency at intermediate level or above
  • Secondary education completed. University or technical study in foreign trade, administration, logistics or accounting is a significant advantage
  • Availability to attend client sites in the Cibao region in person
  • Availability to work onsite in Santiago
  • Valid Dominican ID or work permit

Preferred qualifications

  • Experience in free zones, export manufacturing or a customs agency
  • Knowledge of ERP systems (SAP, Oracle, Microsoft Dynamics)
  • Knowledge of Dominican customs procedures and the Directorate General of Customs
  • Experience with quality management systems in regulated environments
  • Certification or training in foreign trade
